Send an offer letter

Write an offer letter template, send a candidate their offer to e-sign, share the signing link, and track whether they sign, decline, or let it expire.

What it is

Send a candidate an offer letter to sign online, right from their profile. You write the letter once as a template, fill in the details for each candidate, and Binary tracks whether they sign.

Offer letters are on every plan. Job admins can send them and manage their templates.

Write a template

  1. Open any candidate on the job and go to the Offers tab.
  2. Click Create template, then Add template. The template opens in a new tab.
  3. Name the template at the top and edit the letter. Changes save as you go.

A new template starts from a ready-made letter you can edit. To change or delete a template later, use Manage templates at the bottom of the template list when sending an offer.

The candidate's signature is added for you. Every template automatically gets a signature box at the end of the letter. You don't need to add anything for the candidate to sign.

Add your own variables and fill them in when sending

For anything that changes from candidate to candidate, add a variable: a name in double curly braces. For example:

Your annual salary will be {{salary}}, and you will report to {{reporting_manager}} at our {{work_location}} office, starting {{start_date}}.

When you send the offer, each variable becomes a box to fill in. Binary auto-fills what it already knows, such as the candidate's name and the job title, for you to review.

Workspace Admins can set the templates every new job starts with under Settings → Workspace defaults → Offer letters.

Send an offer letter

  1. Open the candidate, go to the Offers tab, and click Send offer letter.
  2. Pick a template and fill in the variables. Binary autofills some of them for you.
  3. Set Days to sign, from 1 to 365.
  4. Click Preview to check the letter, if you like. Previews are free.
  5. Click Send. You'll then be prompted to send the candidate their signing link, with the message already written for you.

The candidate needs an email address on their profile.

Change an offer

A sent offer can't be edited. Click Rescind on the offer and send a new one. The old link stops working right away. A signed offer is final.

Offer letter limits and cost

You can send 1 offer letter a month on Free, 3 on Starter, 50 on Business, and as many as you like on Pro. Each one costs $0.50 from your usage. Previews are free.
